| Card Use Verification
While your reimbursement account offers you a great deal of convenience, especially when paired with the WageWorks Health Care Card, both are regulated by IRS rules that all participants are required to follow. To help you stay on track, we have compiled the answers to some of the most commonly asked questions surrounding Card Use Verifications; simply click on the question to view its answer. Want to learn more? Watch our online web tutorials. Please be aware that all Health Care Card purchases have to be verified within 90 days of the transaction date in accordance with IRS regulations. WageWorks will notify you if the transaction cannot be automatically verified and provide you with instructions for how to proceed. If you do not take action and the transaction remains unverified for 90 days, your Card may be suspended and the unverified amount will be deducted from all future reimbursement claims. I used the Card for an eligible expense to pay my doctor, dentist or hospital and my statement shows I used the Card at a health care provider. So why am I being ask for receipts/documentation? The IRS regulates your account and Card. IRS rules determine who can use the account and the types of items or services used. Some doctors' offices, hospitals, and dentists perform services which would be considered ineligible for the Health Care Flexible Spending Account. Because the IRS requires us to obtain 100% verification of Card transactions, we ask for itemized receipts for all transactions which we are not able to automatically approve. Please note, if verification is not provided within 90 days of the transaction, your Card may be suspended in accordance with IRS regulations. WageWorks and its partners have worked hard to make your Card easy to use at health care providers, IRS-approved merchants, and pharmacies. In some instances, the partnerships we've established help us verify prescription transactions after the sale. When receipts are requested, it is usually after purchases at pharmacies that do not have an IRS-approved system or at health care providers such as doctors or dentists offices. Therefore, it is extremely important that you save all receipts as the IRS requires 100% verification of all health care card transactions. Check your account regularly by logging in at www.wageworks.com. If you have a Card Use Verification request, receive an alert in your Message Center. Please click the "Go To Now" link and you will be directed to the Card Use Verification (CUV) page where you are given the option to submit your receipts online or use the traditional CUV form process. If WageWorks is unable to approve a transaction automatically as an eligible expense, we will ask for verification. If we request verification of a transaction, you will need to take action to resolve the matter within 90 days of the transaction date according to IRS regulations. You can submit a detailed receipt or documentation for the transaction, submit a substitute receipt for the same or greater amount for an eligible expense that you paid for out-of-pocket and have yet to file reimbursement, or you will need to submit repayment for the amount of the unverified transaction. How can I find out what I need to verify? If you have an email address on file with us, we will send you an email should you have Card transactions that need to be verified. One email notification is sent for each Card transaction that requires action. Notification will be sent at least 5 but no later than 20 days after the transaction. You can also find a list of transactions by logging into your WageWorks account online. How do I complete the verification process? There are three options for verifying your Card transactions.

Please note a credit card receipt typically will not work for verification as they usually do not include all five pieces of information. When will I not need receipts? We will not ask for receipts when you shop at merchants and pharmacies that have an IRS-approved inventory system in place. IIAS is the common acronym for the IRS-approved Inventory Information Approval System. IIAS was introduced in 2008 and enables merchants with an approved system to verify Card purchases right at the check-out counter. Since all stores (including pharmacies and drug stores) that sell general merchandise along with health care items must participate to accept the Card, it practically eliminates the need to submit receipts to verify the transaction after the purchase. You can find a list of IRS-approved merchants at www.sigis.com (or go directly to www.sig-is.org). If we are unable to verify a transaction using the IIAS, we will ask you for receipts detailing the expense. What if I didn't keep my receipt or lost it? How can I resolve the transaction? If you don't have your receipt or cannot find it, you may submit a substitute receipt of equal value or repay your account. Substitute receipt – an eligible health care expense that you made with a form of payment other than your WageWorks Health Care Card. The substitute receipt will need to be for the same or greater amount than the transaction that needs verification. It also must include the five details required by the IRS:
Please be sure to include your completed Card Use Verification form with the substitute receipts. Repay your account – for the amount that needs verification to avoid potential tax consequences. If you have a transaction that needs to be verified as an eligible expense and you don"t have the applicable documentation, you will need to repay your account as your account is deemed for use of IRS-approved health care expenses. Send a check made payable to WageWorks for the amount that is outstanding, along with the completed Card Use Verification form, to P.O. Box 14053, Lexington, KY 40512. The funds will be applied back to your account balance. Why is my Card suspended? The IRS mandates that all health care card transactions be verified, and the Card be suspended, if unverified transactions are not resolved on time. If you have a Card transaction that requires verification, you will be notified by email and with a message upon log in to your account. After 90 days if we have not received verification, substitute receipts or repayment, your Card may be suspended. Notification of pending suspension will be sent to your email address on file. Your Card will be reinstated once we have verified the outstanding transactions. For more information, refer to the Cardholder Agreement sent with your WageWorks Health Care Card or contact Customer Service. How do I get my Card reinstated? In order for us to reinstate your Card, outstanding transactions need to be verified. There are three options for verifying transactions. Once verified, your Card will be reinstated within 2-3 business days after the completed Card Use Verification form has been processed and approved. I sent in a claim and it was approved but I was only reimbursed for a portion of the amount I claimed. What happened? If you have unverified Card transactions that go beyond 90 days, WageWorks will deduct the unverified amount from any future Pay Me Back claims you submit.For example, you have an unverified Card transaction in the amount of $40 that has not been verified. After 90 days, you pay out-of-pocket for a prescription that costs $100 and submit a Pay Me Back claim online. WageWorks sees your documentation for the $100 prescription, an eligible expense, and notices you still have a $40 unverified charge. We then take $40 from the $100 eligible reimbursement to cover your outstanding unverified amount and you are reimbursed the remaining $60. If you decide that you have enough money in your account and want to be reimbursed the full amount you have spent, you will need to submit the receipt for the original unverified transaction or a substitute receipt (an eligible expense for which you have not been reimbursed). To reduce the amount of receipts needed try to purchase Over-the-Counter (OTC) and prescription items at merchants, drug stores or pharmacies that have an IRS-approved inventory system in place. Another option is the FSA Store, an online store that offers one-stop shopping for qualified FSA and HSA medical supplies. Watch the video for more on reducing documentation requests. I have a valid email address on my account, when can I expect an email notification regarding Card Use Verification? Notifications are sent 5-20 days from the purchase date of Card transactions that need verification. WageWorks sends an email notification for each transaction that requires verification. Please note, if you have multiple unverified transactions, you will receive multiple notifications. After 90 days, if you have not verified your transaction, your Card may be suspended. You will be sent a notification that your Card is suspended. The Card will remain suspended until the transactions have been verified. Once WageWorks receives your verification, it will take 24-48 hours to process your receipts and another 24-48 hours to reinstate your Card.
